Board and Committees
In addition to working in the classroom, parents hold a classroom job. These jobs typically take between 2-4 hours per month and help keep the preschool running smoothly.
Board Positions Descriptions

Co-Chairperson (2)

  • Generates agendas and conducts all meetings of the executive board and general membership
  • Accepts suggestions from the members and works with the teacher and instructor to resolve conflicts
  • Promotes communication among group members, teachers and instructor
  • Arranges for substitute teacher
  • Helps the board to develop and meet goals for the year
  • Acts as liaison to the landlord
  • Signs legal documents such as the lease, teacher contracts, etc.
  • Maintain the school’s website Prepares parent classroom badges and file folders for all new parents
  • Makes a snack sign-up sheet for Parent Ed meetings as well as holiday and end-of-year potluck
  • Remove outdated announcements and paperwork from the bulletin board
  • Coordinates preschool set-up and clean-up days (September, January and May
  • Takes minutes and records attendance at meetings not attended by the secretary


Parent Leader - Scheduler (1)

  • Prepares and distributes monthly parent work schedule
  • Coordinates with sibling care for scheduling
  • Assigns Board Buddies to all parents
  • Accepts suggestions from the members and works with the teacher and instructor to resolve conflicts


Parent Leader - Committee Coordinator (1)

  • Assigns committee positions to incoming parents
  • Supervises Lunch Bunch Coordinator
  • Coordinate schedule for sibling care co-op staffing and cleaning
  • Maintain insurance paperwork for sibling care co-op
  • Schedules Monday Set Up (with input of committee)
  • Oversees Safety/Maintenance Committee position to ensure compliance with all necessary forms and procedures
  • Coordinates with teachers to ensure support needs are met, reassigns parents as needed
  • Accepts suggestions from the members and works with the teacher and instructor to resolve conflicts


Registrar (1)

  • First point of contact for new families
  • Receives, records, and responds to phone calls, e-mails and web requests from prospective members
  • Provides information about the preschool, teaching staff and mechanics of the co-op to prospective members
  • Arranges and often conducts observations or tours of the school
  • Collects and maintains forms, keeps treasurer and scheduler informed of changes
  • Makes up class roster and updates it throughout the year
  • Fields inquiries from outside the school, does general public relations
  • Conducts registration of the next year’s class that will begin in the following fall
  • Initiates and oversees advertisement effort
  • Ensures new members are introduced to the community
  • Organizes the open house
  • Accepts suggestions from the members and works with the teacher and instructor to resolve conflicts


Treasurer (1)

  • Collects and disburses funds as approved by the members and records these transactions
  • Submits a tentative budget for approval of the members ah the beginning of the school year and notifies the group if running expenditures and income do not conform to the plan
  • Presents a monthly report on financial status
  • Maintains and acts as signatory on the sibling care co-op bank account
  • Prepares a year-end report and submits books for audit by incoming treasurer and the instructor at the close of the year
  • Conducts a mid-year audit with the Parent Educator
  • Accepts suggestions from the members and works with the teacher and instructor to resolve conflicts

Secretary (1)

  • Records minutes of the business transacted at the parent meetings and the board meetings
  • Promptly posts minutes of Parent Meetings at the meeting at the facility
  • Handles all correspondence
  • Accepts suggestions from the members and works with the teacher and instructor to resolve conflicts
Committee Positions Descriptions

Art Room Manager (1)

  •  Maintain the paint supply at school
  • Provide a supply of play dough for the school on a regular basis
  • Make other art mixtures at the teachers’ request (cinnamon dough, cornstarch clay, etc)
  • Keep the art room and equipment clean
  • Launder towels approximately once a week
  • Repair and launder aprons, dress-up and doll clothes as necessary
  • Aid teachers in cutting out and preparing materials for projects
  • Help make games or learning materials for the classroom


Field Trips & Special Classroom Speakers (1)

  • Coordinate field trips and special programs at the teachers’ request
  • Post sign-up sheets on the bulletin board if field trips are offered on multiple days
  • Collect all fees for field trips
  • Arrange payment for tickets/admissions by the treasurer if necessary
  • Inform BC Parent Ed office of field trip plans for insurance purposes
  • Post maps, detailed directions and contact info for field trips on the bulletin board at least one week prior to field trip
  • Send reminder emails to parents about upcoming trips
  • Send thank-you letters to all non-paid hosts or guest speakers 


Friday Clean-Up Coordinator (1)

  • Direct Friday parents in clean-up
  • Ensure that Friday clean-up checklist items are completed
  • Make a vacuum schedule and clean-up schedule and provide it to the Parent Leader – Scheduler for inclusion on the monthly work schedule


Friday Clean-Up Committee (3)

  • Complete Friday clean-up checklist
  • Vacuum preschool based on rotating schedule


Lunch Bunch Coordinator (1)

  • Schedule Lunch Bunch to cover childcare for board meetings and afternoon parent education meetings
  • Arrange for substitutes in case of last-minute schedule changes
  • Participate as a Lunch Bunch member at least once every other month

 

Lunch Bunch Committee (6)

  • The Lunch Bunch will supervise children during 1-2 monthly meetings
    • The monthly board meeting
    • The afternoon parent education meeting
  • Meetings take place right after school and last approximately 1-1/2 to 2 hours 
  • Three or more Lunch Bunch members are required at each meeting to supervise children in the preschool
    • One adult should be stationed in the Sibling Care room with children less than one (1) year old
    • One adult should be stationed at the snack table while children are eating
    • One adult should be stationed in the block room
  • The Lunch Bunch is encouraged to take the children outside to the playground weather permitting
  • The Lunch Bunch may choose to do a circle time with the children
  • Lunch Bunch members are required to work at one meeting per month
  • Lunch Bunch members' children may attend while parents are working

 

Maintenance, Safety, and Supply (1)

  • Check outdoor equipment periodically
  • Order wood chips or sand for outdoor area as needed
  • Arrange an outdoor work party for if needed during the year
  • Arrange for any repair or painting that the indoor equipment may need
  • Check in with teacher and the board monthly for any maintenance or safety issues that may have come up
  •  Keep first aid supplies and emergency supplies up to date
  •  Assist with the emergency preparedness plans for group
  • With the teacher, plans and helps to conduct monthly fire drills and quarterly earthquake drills, and maintains a record of such, per risk management requirements
  •  Maintain Safety-Risk Management checklist and notebook at school
  • Confirm compliance with insurance checklist quarterly
  • Check supplies against inventory checklist regularly to ensure adequate equipment
  • Purchase and maintain all supplies (napkins, paper cups, paper towels, etc,) for the school
  • Keep sales receipts for all expenses and submit to the treasurer for reimbursement
  • Purchase art supplies as requested by the teachers
  •  Purchase special supplies as needed by the group
  • A Costco card is helpful for this position


Monday Set-Up (4)

  • Two parents will perform Monday set-up each week
  • Arrange and wipe down chairs and tables
  • Cover writing and art tables with paper
  • Fill sensory table when needed
  • Set out dress-up clothes
  • Turn shelving units around
  • Set up other equipment (items stored in Art Room during the weekend) according to teacher specifications provided

Parent Advisory Committee Representative (PAC)/Fundraising Coordinator (1)

  • Attend all meetings of the Parent Advisory Committee at BC and report back to our group at the parent meetings (PAC meetings are usually held once a month in the evenings)
  • Take any parent concerns or suggestions from our group to PAC
  • Handle PAC fundraising activities for our group
  • Initiate fundraising effort for preschool (when needed)
  • Prepare documents and presentations for parents at Parent Education meeting to explain the reasons for fundraising, the process of the particular fundraiser and the desired goals to be met
  • Follow up with group throughout fundraiser to motivate parents and to initiate the collection of funds, distribution of products, or implementation of crafts
  • Work with treasurer to collect funds and pay fundraising partners
  • Review effectiveness, ease, and popularity of fundraisers, and ask parents to contribute new ideas for future fundraising efforts

Party/Hospitality/Birthdays/Photographer (2)

  • Plan and assist with all parties and special events for children in coordination with the teachers’ requests (e.g. Pumpkin Carving Night in October & Valentine Party in February)
  • Lead group efforts for any community outreach projects the group may choose to do, such as food bank drives, holiday basket projects, etc.
  • Plan occasional “Mom’s Night Out” social events if the group chooses to have them
  • Make birthday crowns and birthday surprises and have at school in advance of each child’s birthday -- VERY IMPORTANT!
  • Make an extra crown and surprise to leave at school in case of unexpected circumstances
  • Send cards and/or gifts for births, illnesses and other events that occur among the group during the school year and coordinate any other assistance parents may choose to offer, such as meals or babysitting
  • Take a picture of each child and his/her parent during the first two weeks of school and display on a poster in the classroom – VERY IMPORTANT!
  • Download all photos taken with the school’s digital camera
  • Take a class photo in the fall and spring, or arrange to have a class picture taken
  • Maintain a photo album and take orders for reprints  (parents pay the cost of any reprints)
  • Take pictures at school, parties, and special events
